The Business Fit Workshop

The centerpiece: business stakeholders score their own applications, factor by factor, and watch each one land on the TIME quadrant in real time.

1 Run the 30-minute intro meeting The unit understands the process, has seen its materials, and has confirmed the workshop date and attendees.

IT lead facilitates; sponsor and working contact attend · 30 minutes plus short prep

  • Walk the methodology in 5-10 minutes — the Methodology Walkthrough deck and One-Pager from the Workshop Kit are built for exactly this.
  • Show the unit's application list in GetInSync. Confirm completeness; surface gaps now.
  • Identify workshop attendees: application owners, the people who use the systems daily, and executive directors where needed.
  • Confirm the workshop date and availability.

Done when: Date set, attendees confirmed, application list confirmed.

2 Send the workshop confirmation Date, time, link, attendees, and the application list — confirmed in writing.

IT lead or the BRM who owns the relationship

  • Email the working contact and all confirmed attendees: date, time, location or link, and the attendee list.
  • Ask attendees to review the application list once more before the session and flag anything missing.

Done when: Confirmation sent and acknowledged by at least one attendee.

3 Run the Business Fit Workshop Business Factor scores captured per application — and TIME placements appearing live as each one completes.

IT lead facilitates; application owners and business contacts score · 1.5-4 hours for 5-12 applications; 15-20 minutes per app

  • Work application by application. For each, open its assessment and walk the Business tab: 10 factors (B1-B10) — strategic contribution, scope of use, process criticality, needs met, user satisfaction, and more — each scored 1-5 against written descriptions with the Business Factors Questions handout on the table.
  • Score directly in GetInSync during the conversation. With Technical Health already in place, the application's TIME quadrant and PAID action appear as the business scores land — keep the App Health chart visible for the moment each bubble finds its quadrant.
  • Handle disagreement by anchoring to the written 1-5 descriptions, not adjectives. When two people are two points apart, they're usually answering different questions — re-read the factor together.
  • Resolve data gaps as they surface: missing owners, late-arriving applications, anything the room knows that the record doesn't.
  • Applications with inconclusive Technical Health: note for follow-up, don't stall the room.

Done when: Every application in the session has complete Business Fit scores and a visible TIME placement.

The first few applications run long while the room finds its rhythm. Build in buffer and don't rush them — the pace doubles once the pattern lands.
